What we collect

When you book an appointment online or by phone, we collect only what we need to do the job:

• Your name, phone number and email address
• The address of the job and anything you tell us about the problem
• Photos, if you choose to send them
• How you heard about us, if you tell us (it helps us see which advertising works)
• The appointment you choose, and any changes or cancellations
• Messages, photos and contact details you send in the chat on our website
• Text messages you send to us, and your rating and comments if you answer our "How did we do?" request
• Your internet (IP) address when you book online, used only to prevent spam bookings

How we use it

• To book, confirm, change or cancel your appointment, and to remind you about it
• To prepare your estimate and do the work
• To answer your questions and messages
• To ask how we did after your visit and invite you to review us on Google
• To protect our booking system from spam and abuse

We do not sell or rent your information, and we do not use it for advertising.

Who we share it with

Only with the services that run our website and messages, and only so they can do that job for us:

• Our website host, where the booking system and your information are stored
• Twilio, which delivers our appointment text messages
• Cloudflare, which checks that bookings come from real people (spam protection)
• Google Maps, which shows the map and directions on our website

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties, except the providers that deliver our messages.

We may also share information if the law requires it, or with your insurance company when you ask us to.

Cookies

Our public website does not use advertising or tracking cookies. The embedded Google map may set its own cookies (see Google's privacy policy). If you start a chat, your browser keeps a private key to that chat (in its local storage, not a cookie) so the conversation is still there when you come back; "End chat" removes it. Our staff area uses one cookie to keep staff logged in.

Counting visits to our website

To see how many people use our website, it counts its own visits: which of our pages was opened, the kind of website you came from (for example a search engine or Facebook), whether you use a phone or a computer, and whether the page was scrolled or clicked (so robots can be left out). It uses no cookies, it does not store your internet (IP) address, and nothing is sent to Google or any other company. A visitor code that changes every day lets us count each person once per day without being able to recognize you on another day. The details are deleted after about 13 months; only daily totals are kept.

Email security check

Our email security check (email-check.html) runs in your browser. To check a domain it looks up that domain’s public DNS records (the same information anyone on the internet can see) through Cloudflare’s public DNS service, or Google Public DNS as a backup; those companies see the lookup the way any DNS service does. If the domain publishes a logo for BIMI, your browser loads that logo from the address in the record, like any picture on a web page. The domain you type is not sent to us, and we don’t store it. The page is counted like our other pages (see above).

Domain lookup

Our domain lookup (domain-check.html) also runs in your browser. To look up a domain it asks for public records only: the domain’s registration record from the registry that runs that ending (found through IANA’s public list of registries, or through the rdap.org service), the owner of the website’s internet address from the internet address registries (such as ARIN or RIPE, through rdap.org), and the domain’s DNS records through Cloudflare’s public DNS service, or Google Public DNS as a backup. Those organizations see the lookup the way any such service does. The domain you type is not sent to us, and we don’t store it. The page is counted like our other pages (see above).

How long we keep it

We keep booking records and photos while they are useful for your job, warranty and our business records, and as long as the law requires. You can ask us to delete your information at any time (see below); we will do so unless we must keep it, for example for tax or insurance records.

Your choices

• Change or cancel your appointment with the "Manage your booking" link in your confirmation.
• Stop text messages at any time by replying STOP.
• Ask to see, correct or delete your information by contacting us.

Security

Your information is sent over an encrypted connection and stored on a private server. Photos and customer details are not publicly accessible, and only Stetera Technologies staff with a personal login can see them.

Children

Our services are for adults. You must be 18 or older to book an appointment, and we do not knowingly collect information from anyone under 18. If you believe a child has sent us information, contact us and we will delete it.

Changes

If we change this policy, we will update it on this page and change the date at the top.

Website chat

When you chat with us on our website, we keep your name, the phone number or email you give us, your messages and any photos you send, so our staff can answer you and look back at the conversation later. We also note your internet (IP) address to stop spam.

If you leave the page before we answer, we send our reply to the mobile number you gave us by text message, or to your email. These are replies to your question only, never marketing. Reply STOP to stop texts at any time.

Chats are seen only by Stetera Technologies staff with a personal login. To have a chat deleted, contact us (below).

Estimates and electronic signatures

When we send you an estimate, it has its own private link. If you approve it online, we keep your chosen option, the name you type, your drawn signature, the date and time, your internet (IP) address and browser, and a fingerprint of the estimate, as the record of your agreement. You get a signed copy by email. You can always call us instead of signing online.

Online payments

We never send payment links. Stetera Technologies will never send you a link to pay, and will never ask you to change how you pay by email or text. The only place to pay online is stetera.com/pay: type it in yourself. Not sure a message is from us? Call (410) 421-7806. If you get a message like that, don't pay and don't tap its links: call us and we'll report it.

To pay online, you type the invoice number, the company or name on the invoice, the amount and an email for the receipt. The payment itself is handled by our payment provider on their own secure page, which shows Stetera Technologies as the business. We never see or store your card or bank details. We keep what you type (invoice number, company or name, amount, email, and the phone number and project reference if you give them), the date, the payment status and method (for example, card), the provider's reference and your internet (IP) address, as the record of your payment. You get a receipt by email.

Job applications

When you apply through the "We're hiring" form, we keep your name, phone number, email, the position and details you enter, your résumé if you attach one, and your internet (IP) address. Your application is stored privately and only the owner can see it. It is not emailed around or shared outside Stetera Technologies. We use it only to consider you for a job and to contact you, and we delete it when you ask us to, or once we no longer need it.

Text message terms

Program: Stetera Technologies appointment messages, for appointments booked on our website or by phone.

What we send: your appointment confirmation, a link to change or cancel it, updates or reminders about that appointment, replies to messages you send us (including website chats), links to estimates you asked us for, a note when our technician is on the way, and one message after your visit asking you to review us on Google. We do not send marketing or promotional texts.

How you agree: by entering your mobile number when you book on our website (the booking form states that you'll receive text messages about your appointment), or by telling our staff you'd like texts when you book by phone.

How often: message frequency varies, usually 1 to 5 messages per appointment.

Cost: message and data rates may apply, depending on your mobile plan.

To stop: reply STOP to any message. You'll get one final message confirming you've been unsubscribed, and no more texts after that. You'll still get emails about your appointment.
